1. Information We Collect

When you use DealDesk, we collect the following types of information:

Account Information

• Name, email address, phone number
• Brokerage name and real estate license number
• State of licensure

Transaction Documents

• Purchase Agreements and related addendums
• Listing agreements
• Title commitments and other real estate documents
• Personally identifiable information (PII) contained within those documents, including buyer/seller names, addresses, and financial details

Usage Data

• Pages visited, features used, actions taken within the app
• Device and browser information
• IP address and general location

2. How We Use Your Information

• To provide the DealDesk transaction coordination service
• To parse and analyze uploaded documents using AI
• To track transaction deadlines and milestones
• To generate draft communications on your behalf (when enabled)
• To improve the accuracy and reliability of our AI systems
• To send service-related communications (not marketing, unless opted in)

3. How We Store Your Data

• Data is stored in Supabase, a SOC 2 compliant cloud database provider
• Documents are stored encrypted at rest
• All data transmission uses TLS/HTTPS encryption
• Access is restricted to authenticated users only — you can only access your own transactions

4. AI Processing

Documents you upload are processed by OpenAI's GPT-4 API to extract information and generate content. By using DealDesk, you consent to this processing. OpenAI's data usage policies apply to this processing. We do not use your documents to train AI models without your explicit consent.

5. Information Sharing

We do not sell your personal information. We share information only in these limited circumstances:

• AI processing: OpenAI receives document text for analysis (see Section 4)
• Infrastructure providers: Supabase (database/storage), Vercel (hosting)
• Legal requirements: When required by law or valid legal process
• With your consent: When you explicitly authorize sharing (e.g., sending docs to title company)

6. Email Communications (CAN-SPAM Compliance)

• Transactional emails (deal updates, alerts) are sent as part of the service — no unsubscribe required
• Marketing emails require your opt-in and include an unsubscribe option in every message
• Follow-up emails sent to your clients on your behalf include unsubscribe options per CAN-SPAM requirements
• We include our physical mailing address in all commercial emails

7. Your Rights

• Access or download your data at any time
• Request deletion of your account and data
• Correct inaccurate information
• Opt out of non-essential communications
